Find a meeting time before sending the final invitation
A meeting poll separates choosing a time from holding the meeting. It is especially useful when people do not share a calendar system or when you want to check several possible time slots before committing.
With FindCommonTime, you specify each option's date, start time, and end time. Invitees mark IN or OUT, and their choices save automatically. When you have enough responses, you can select the final option and close the poll.
How it works
Describe the meeting
Use a title that makes the purpose clear, and offer time ranges long enough for the conversation.
Ask for availability
Send the poll link to the people who need to attend. A response deadline helps everyone know when the time will be decided.
Make the final arrangement
Select the time in the poll, then share the meeting location or video-call link with the group through your usual channel.
Put it into practice
Example: a project review with external partners
Your team and two external partners need a 45-minute review. Offer three possible windows across two days. Each person can respond without sharing access to their calendar, and you can choose a slot after checking the results.
Include the full meeting duration
A person who is free at 10:00 may not be free until 11:00. Add an end time so participants can judge the whole time slot. Leave any necessary preparation or travel time in mind when choosing options.
Common questions
Does a meeting poll read everyone's calendars?
No. Participants explicitly mark the offered times. FindCommonTime does not need access to their calendars for this workflow.
What happens after I choose the meeting time?
You can mark the final time and close the poll. Share any location, agenda, or video-call details with the attendees separately.
